Moving Meeting Time
Web committee will begin meeting at 6 PM the third Thursday of the month instead of 6:30 PM.
Content Tools
The committee voted not to request funding for tools that will not be used with enough frequency to justify the purchase.
Linking Policy
Town board to meet and vote on the linking policy. Gina to report back.
MailChimp Migration
New header needed when the newsletter moves to MailChimp.
Need to make sure the current site sign up process will register a user to get the mailing via MailChimp.
Budget: Is there any money in the budget for the mailing? Once the Zivtech work is done, committee to revisit the budget to see if there are any remaining funds in 2010 to do any design work.
Zivtech Contract Status
Joan will check on the final status on the paperwork and whether the final check has gone out and report back.
Email Newsletter Status
Committee discussed the most effective way to send out mailings to residents/subscribers. Should there just be one mailing with all information provided in it, or should the Town Board agenda and minutes be sent separately? Issues are balancing the desire to not over-mail, which leads to people unsubscribing or deleting without reading, but we also want to make sure it is easy to find pertinent information. Per the request of the public, they want to know what is going to be on the agenda for the twice-monthly Board meetings.
Would a Table of Contents type of layout be helpful? Goal is to do a mailing once every other week, maximum once per week.
Committee will work on creating a standard for when it is appropriate to use the list for mailings and when information can best be shared in other ways.
Group Training (Training CAC and others)
Andy to start with CAC
Preferred process - individually or as a group
Ability to set up roles limited to specific pages of the site.
We had framed the question as follows:
All committee members becoming conversant in basic updates and each taking primary responsibility for training, assisting and monitoring a certain number of committees/groups and their efforts to maintain their own pages.
OR
Creating a subcommittee responsible for putting together a training session that would gather representatives from all committees/groups for a training session, and then ongoing support and monitoring of all updates would be handled by this subcommittee.
