Zivtech Contract Status

All paperwork settled, check sent and rec’d. Work restarted.

Email Newsletter Strategy

Will be sent weekly in digest form with full agenda.

Items will link to calendar, pages and announcements as necessary.

Subject Line will be:

Rhinebeck Town News & Town Board Agenda

Or

Rhinebeck Town News & Town Board Minutes

One month (approximately) to switch over to MailChimp.

Group Training

CAC (Conservation Advisory Council) training went well. Some follow up on particular issues and questions, so still in progress. One issue regarding inability to delete anything.

We need to create archive page so content can't be up top, but people may still find out of date documents due to various search engines.

We need a naming convention and always put identifying information so people will know they are looking at older content. Dave to speak with Zivtech to address this issue.

Gina suggested Rec should be trained next, and that perhaps the best course of action would be to train the Secretary and the lead/chair person for each committee.

Gina is the liaison for the Rec committee, so she will put the Rec committee in touch with Andy and he will do the training.

Kathy and Gina will also sit in and get trained during that session.

Historical Society also has a lot of information.

Rec, Aging, Highway – probably the three committees that produce the most information and should be trained.

MailChimp Migration

New header needed - graphic artists, existing header files.

Zivtech Work Progress

Dave to work with Aaron.

Removing “draft” from comp plan block on home page.

Email Newsletter Status

Andy to finalize new header artwork and template to match new approach.

Andy and Dave to coordinate the switch.

Joan to use once we have the email updates.

Town / Village Edits

Village site is up and running.

http://www.rhinebeckvillage.org/

How can we best work with the Village to make sure that the most up-to-date and comprehensive information is available to the public using both the Village and the Town web sites.

Gina suggests a basic document for residents/visitors to provide information on the difference between the Town and the Village that can be published on both web sites.

Gina will reach out to Jim Reardon to discuss next steps.

Proper Use of Email List

Committee recommends putting a policy in place for what is permissible and what is not for mailings. Should meet certain criteria and pertain to news of the district.

Adjournment

There being no further business, the meeting adjourned at 7:30 PM

Respectfully Submitted: Andrea Pyros
